JOB DESCRIPTION

FLSA Status:                                       Non-exempt, part-time, 25 hours/week, including Saturdays upon request

SUMMARY

The Gallery Assistant provides administrative support and coordination to the Gallery in all aspects of the preparation of exhibits and the events related to the exhibitions. This position includes administration, registration, management and care of artwork.  Additional duties include coordination and supervision of volunteers and maintaining social media presence of Gallery exhibits/

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

GALLERY SUPPORT

  • Greeting the public, speaking to tour groups as scheduled. Dealing with the artists visiting the Gallery
  • Daily response of emails and phone calls
  • In coordination with Gallery Coordinator, plans cyclical events/exhibits on a timely basis
  • Handling a wide variety of administrative duties including the preparation and maintenance of records of all exhibit related information and forms.
  • Provides assistance with budgeting, maintaining records and collecting statistics for the Gallery Department
  • Edits promotional materials for web and social media
  • Researches sources for food and beverage donations
  • Plans and coordinates Gallery receptions
  • Supervises volunteers and interns for pre and post set-up for Gallery receptions
  • Maintains proper exhibition protocol i.e. artist’s tags, statements, and art sales receipts, wall signage, etc.
  • Assists and coordinates in the installation and de-installation of exhibits for both galleries.
  • Follows appropriate safety guidelines
  • Maintains and keeps current a database of artist contact information
  • Maintains and keeps current a database of event and exhibit participants
  • HandHMaintains Gallery clean and ready for the public

QUALIFICATIONS

EDUCATION AND EXPERIENCE

  • BA equivalent, degree in Art, Art History, Arts Administration, or related field preferred
  • Strong organizational and project management abilities, exercising initiative and judgment.
  • One or two years of related gallery and/or preparatory experience and project management experience in a related field desired
  • Punctual and reliable
  • Neat and professional attire
  • Available to work long hours to meet deadlines when necessary

 

LANGUAGE SKILLS

  • Bilingual (English/Spanish) must read, speak and write in both languages.

 

COMPUTER SKILLS

  • Experience with Adobe operating system and related software (MS Office, FilemakerPro, and some graphic design skills are all a plus.

 

PHYSICAL REQUIREMENTS

  • Must project a professional image and dress neatly when reporting to work
  • Ability to lift up to 50 pounds and to be comfortable to work around light power tools and the use of ladders
  • Understanding of engineering mechanics
